Move Checklist

Moving offices can be a daunting task, but enough can't be said about having a well thought out plan in place. Some of the key action items in an office move are outlined below.

PRIOR TO THE MOVE

  • Select a move coordinator
  • Evaluate telecom/data needs and hire telecom contractor to cable/wire facility
  • Order new phone and fax lines and numbers. Order long distance service.
  • Hire a mover ensuring that they are adequatly insured and bonded
  • Order internet/data service
  • Order furniture
  • Purchase general liability/business insurace in conformance wit lease agreement
  • Obtain necessary business licenses and permits
  • Order signage for new location
  • Hire janitorial/cleaning service
  • Order change of address labels
  • Assign office space
  • Send change of address to all vendors, clients, service providers, etc.
  • Update your web site
  • Order Alarm Service, CCTV, Keys, Access Cards
  • Arrange for vending machines, coffee services
  • Order checks, update financial documents and records
  • Inventory, tag, and track computes, IT equipment, and existing furniture
  • Obtain moving materials, pack up common areas, and tag
  • Assign new phone numbers, extensions
  • Notify post office of change of address
  • Order new stationry, business cards

IMMEDIATELY PRECEDING THE MOVE

  • Pack up desks, personal spaces
  • Take down furniture
  • Empty, defrost furniture
  • Back up computers
  • Label everything
  • Reserve freight elevators and loading docks
  • Distribute new keys, cards

MOVING DAY

  • Post signs for movers
  • Protect main moving paths
  • Move plants
  • Set up a lost and found
  • Clean out old office
  • Document move with pictures of new and old space and move-in and move-out conditions

FOLLOWING THE MOVE

  • Collect old keys, access cards
  • Perform cleaning of spaces
  • Contact landlord about security deposit
  • Schedule security and phone training
  • Periodically visit old office space to pick up mail
